HOTEL INFORMATION for Defend our Freedoms Convention: All you need to know

NOTE: If you need a room for smokers, then there is a greater need to make reservations as soon as possible as there are very few available.

It is important that you make reservations as early as possible to ensure you get the best rate of $99.00 per night. With taxes, it will be $114.00 per night.

This price will start going up as of April 8, 2009, per the hotel, At that time, our block of rooms would be released and you will get the price available at the time. If you go to their website and put in the dates of the convention, May 8-10, you will see that rooms purchased in advance are $151.00 and, for those not purchased in advance, you would have a price of $189.00. That is their prices when checked today but they are subject to change without warning. You can check prices, for yourself.

GUARANTEED RESERVATIONS – INDIVIDUAL GUARANTEES OWN
All reservations must be guaranteed with a major credit card or one night’s room and tax. Hotel will not hold any reservations beyond ten days, unless secured by one of these methods. Cancellation must be made 72 hours prior to arrival or one night’s room and tax will be charged to the credit card or deposit will be retained.

GUEST ROOM BILLING – INDIVIDUAL PAYS ALL CHARGES
Attendees are responsible for all individual charges, room, tax and incidentals incurred at the Hotel. Payment of charges is due and payable upon check-out.

METHOD OF RESERVATIONS – INDIVIDUAL CALL-IN
Reservations will be made by individuals calling Hilton Toll Free Reservations number 800-HILTONS. Individuals must identify themselves as being with Defend our Freedoms Convention or Freedom Conference at the time the reservation is made in order to receive the special group rate. Reservations made through another method, such as a Travel Agency, may not receive the negotiated group rate and may not be counted towards your total group pick up.

CHECK-IN/CHECK-OUT (depends on availability, if we can get extended)
Check-in time is 4:00 PM. While the Hotel will make every reasonable effort to accommodate guests who arrive before the check-in time, guest rooms may not be immediately available. Baggage storage will be available.

Check out time is 12:00 Noon. Late check out requests will be reviewed based on hotel demand. A late departure fee may apply; for your convenience, baggage storage will be available.

EARLY DEPARTURE FEE If you are not sure if you are staying for the whole convention, then you need to let the hotel know that you might be staying less days. If you book a room, do not mention that you might not be there for both nights, then do change your reservation to stay for only one night, then you will be subject to a early departure fee of $50.00 plus.

Per hotel guidelines: "There will be a $50.00 plus tax early departure fee charge for any guest within Defend our Freedoms Convention‘s group block checking out prior to the guest’s reserved check-out date. This charge will be added to the individual’s account. Guests wishing to avoid an early check out fee should advise the Hotel on or before check in of any change in planned length of stay.

PARKING
For those driving, the parking is valet only. I have been able to get a special price of $10 per day, instead of their usual $17. There are other parking lots in the area, which I will be checking for prices.

Donna, I added a note at the top for others. I was on with the hotel late Fri and they had corrections that did not get in the final contact and it will be Monday before they are done. The hotel, when I called earlier today, said it probably had been removed from the system in order to make the revisions.

I called the Hilton Fort Worth directed when 800-HILTONS did not have a listing for the conference. Hilton Fort Worth does NOT have a listing for this conference! I asked for May 8-10, 2009 and they could not find it. They listed the conferences they had (not ours). Maybe someone down there can straighten this out.
